Turning sprawling, tedious systems into a single source of truth for America's most preeminent defense litigation firm

Background

One of our nation’s leading litigation firms needed to move beyond its legacy technology. Off-the-shelf solutions couldn’t meet the complexity and scale of the firm’s needs. A fully custom legal practice and case management platform designed to centralize matter tracking, deadline compliance, and team coordination across a firm of 1,500+ attorneys. was the way forward.

And that’s exactly what Mindgrub built.

The Opportunity

The practice in question is one of the largest defense litigation firms in the United States. With more than 1,500 attorneys operating in the civil and insurance defense space, the firm manages a casework volume that would strain even the most refined technology stacks. Imagine nearly 200,000 open matters firm-wide at any given time.

And yet, for years, so much of that work was tracked the same way it had always been: mainframes, spreadsheets, and institutional memory. But as the business scaled, those legacy systems struggled to keep pace with its rapid growth.

The pressure was most visible on their largest national client services team. Managing 6,000 open cases simultaneously, this team had to meet strict insurance-carrier compliance deadlines, including initial case reports due within 30 days of assignment.

Leave even the best lawyers without the right tools, and prepare for chaos.

Great Legal Skills Without Tools to Match

The firm nearly doubled in five years. Its legacy systems didn’t. At that scale, a single missed deadline means rejected carrier invoices, costly appeals, and billable hours burned on admin instead of clients.

Before: Sprawl held together by people

  • Matters tracked across mainframes, spreadsheets, and institutional memory

  • 3-4 support staff per attorney just to keep pace — unsustainable for a high-volume practice

  • Initial case reports due within 30 days of assignment, hunted down by hand

  • No single place to see what's coming due

After: One platform, built for the work

  • Every active matter, task, and owner visible at a glance

  • Deadlines surfaced before they turn urgent — no manual hunting

  • Claims and damages logged against the matters they belong to

  • Leadership sees the whole picture in real time

Why Off-the-Shelf Fails

The legal tech market offers a plethora of options for practice solutions. An abundance of platforms built on a Salesforce backend, promising end-to-end case management, and more. The firm’s Chief Information Officer was quick to call out a fundamental mismatch: these products are priced as all-in-one solutions.

The law firm’s leadership team had already made deliberate, best-of-breed choices for
key parts of their workflow for time and billing, intake, and finances that the firm’s attorneys trusted and weren’t willing to abandon.

Off-the-shelf legal tech required our client to pay for an entire ecosystem when they truly needed a single centralized solution for both practice and case management. A custom platform built by Mindgrub was that solution. No frills, no excess…but it didn’t exist yet.

A Bespoke Platform Built From the Ground Up

Mindgrub partnered with leadership and technology teams at the law firm to design and build what became a bespoke web-based case and practice management platform.

It was engineered specifically for the complexities of high-volume defense litigation. The engagement evolved into a long-term team augmentation relationship, with the same core Mindgrub team embedded on the project for more than two and a half years.

Every feature, workflow, and interface element was built with clear intentions, focused on not building another variation of a generic product already on the market.

How We Built An Industry-Focused System

  • See Every Case. Miss Nothing.

All active matters, tasks, and responsible team members are visible at a glance in a unified matter-tracking dashboard. Leadership gets the big picture. Teams get all the details they need to move efficiently.

  • Never Miss a Deadline Again.

Court dates, filing deadlines, key milestones — the system surfaces what's coming before it becomes urgent. Smart event tracking means no more manual hunting through calendars or spreadsheets.

  • Financials and Legal Strategy in Lockstep.

A dedicated claims section lets teams log and monitor damage data tied directly to specific matters, keeping financials and legal strategy in sync.

  • Any Data Point On Demand.

A powerful filtering engine that lets teams slice and dice their caseload by any variable, and export directly to Excel for client reporting. Built for the people who live in data and those who need summaries at a glance.

  • The Audit Trail That Runs Itself.

Every action gets automatically logged. Leadership gets clean, real-time reporting without needing to chase down status updates. The system facilitates accountability without extra overhead.

  • Integration-first Architecture

Docketing feeds, reporting deadlines, and external data flow in via API — no rip-and-replace, no single-vendor lock-in.

Quality Built Into the Process

Mindgrub implemented a comprehensive automated testing framework integrated directly into the practice’s development pipeline. This QA automation infrastructure ensures the platform’s ongoing reliability as new capabilities are added — a critical foundation for a system that teams across the business depend on daily.

Within 6 weeks, the attorney who kept going in to complain, was going in to applaud. That was the big turning point that made [the platform] the coolest thing this firm has ever done.

— Turning Skeptics Into Advocates

When rolling out new technologies, it’s crucial to remember: a new platform is only as valuable as its usability.

At such a high volume and storied firm such as our client’s, adoption was far from guaranteed. In the months before the platform’s initial launch to a client services team, a senior attorney three doors down from the firm’s chairman had become a vocal critic. He was simultaneously pushing for a competing third-party platform — one built for a business of 150 attorneys, not 1,500.

An initial demo of the custom solution had failed to land with its audience. The firm’s CIO stepped in, took control of the rollout, and shifted the focus away from technical features and toward clear, intentional messaging that showed attorneys exactly how the platform supported the way they already worked.

That shift quickly changed perceptions across the practice.

“Every time I've ever needed [Mindgrub], they've been right there. They're always trying to solve things with me. I feel like this team is invested. They're very passionate. And that's rare.”

A Partnership Built on Trust

The firm’s CIO was deliberate in her decision to work with a smaller, embedded partner. She wanted team augmentation with partners who felt like part of the internal organization, not just a rotating roster of contractors.

Over two and a half years, the Mindgrub team has delivered that desired consistency. The same engineers and practitioners who started the project have remained with it. Changes in team composition were driven entirely by our client’s own shifting scope and budget needs, not by turnover on Mindgrub’s side.

What began as a solution to a technology ceiling is now the platform the firm is building its next decade of growth on.
